Mail Editor

Overview

The Mil Editor allows you to customize the email templates that are sent in response to various events.

Important note → MMl templates can only be created in the Development System and are supposed to be transported to Quality Assurance and Production System via the Upload function.

Accessing the Mail Editor

To edit email templates, you must have the appropriate role. If you do not have the necessary permissions, please request access through Beneering.

Once access is granted, you can find the Mail Editor under Settings.

1. Editing Emails for a Specific Organization

If you need to modify emails for a particular organization, click on Organization within the Mail Editor.

2. Filter by Subject

You can search for emails by subject. This filter also considers email content, displaying results that contain the searched words.

3. Filter by Object Type

Emails are categorized by object types. Below is an overview of common object types:

  • CATALOG – Emails related to the Catalog module, such as catalog uploads.

  • CWF_PURCHASE_REQUISITION – Emails related to purchase requisition approvals.

  • DCF – Dynamic Cloud Forms (DCF) emails, which are customer-specific and highly customized.

  • MESSAGE – Incoming message notification templates.

  • ORGANIZATION – Emails for actions like sending invitations and MIME upload failure notifications.

  • PURCHASE_ORDER – Templates related to purchase orders, including supplier portal document notifications and document processing issues.

  • REPORT – Emails related to reports, such as version comparisons or catalog reports.

  • REQUEST_FOR_QUOTE – Templates for different stages of the request-for-quote process (e.g., opened, closed, canceled, updated, reopened).

  • REQUEST_MESSAGE – Templates for request messages, such as new chat message notifications.

  • RESERVATION – Emails related to reservation processes.

  • SERVICE_ENTRY_SHEET – Templates concerning service entry sheets.

  • SHOPPING_CART – Emails about shopping cart activities, such as catalog validation confirmations.

  • USER – User-related email templates, such as account creation, password changes, and password resets.

4. Filter by Event Type

Some object types are further divided by event types. For example, Catalog emails may include event types like APPROVE and APPROVED.

5. Filter by Language

You can search for email templates in a specific language.

6. Filter by Email Template Name

If you know the name of the template you need, you can search for it directly.

7. Filter by Creation Date

Search for templates based on their creation date.

8. Creating EmEmil Templates

Suppose you want to modify the Catalog Send to Approval event. Instead of changing the existing general email template located in the BeNeering Root organization, you’ll need to create a new template with the same Object and Event Type.

To do this, click New in the top-right corner.

Enter a clear and descriptive Name, and choose the appropriate Object and Event Type. In this example, the catalog approval process uses Object Type: CATALOG and Event Type: APPROVE.

If you’re unsure which values to select, refer to the existing standard templates, they contain the necessary information for each event type.

A new email template entry will now appear in your list.

To edit the content of the email template, open the “Mails” tab and click the three dots next to the language you want to edit and click on “edit”

A screen will open with Language, Subject and a HTML Body. To change the contents of the eemail template you need to adjust the HTML Body. To do this, you will need to have some basic understanding in HTML.

To test whether your email template works correctly, click directly on the mail entry (not the three dots this time).

Next, enter the data required for the template. These fields may vary, as some parameters can be set dynamically within the email.

Click on Send and a example Mail should be sent to the address you have selected previously.

9. Download Email Templates

Email templates that you create yourself can be downloaded using the three buttons on the right side of the template entry.

Standard templates cannot be downloaded. If you need to modify an event type from a standard template, you must create a new email template with the same Object and Event Type. This new template will be specific to your organization and will replace the standard template from the BeNeering Root Organization.

10. Upload Email Templates

You can upload email templates that you previously downloaded. This feature is essential for transferring templates between systems, such as Development, Quality Assurance, and Production.

Additional Information

  • If you ever want to revert to the original standard template, simply delete your organization-specific template. This ensures that a fallback to the standard template is always available.

  • The english language templates cannot be deleted and are mandatory.
